Wabano is seeking an Administrative Assistant to support the Director of Programs.
Purpose of Position
The Programs Administrative Assistant provides administrative support to the Director of Programs and the Programs team.
Some of the responsibilities of this position are:
Coordinating and booking regular meetings, taking minutes, preparing meeting materials, setup and clean-up of meeting space;
- Data entry and report preparation and editing;
- Managing Director schedule, filing, deadline prompts;
- Entering time and attendance data;
- Answering program inquiries and directing to appropriate team member;
- Creating promotion and communication materials;
- Creating spreadsheets and other tracking tools;
- Regularly prioritize assignments and work toward deadlines;
- Providing support to other Wabano sectors as directed.
Qualifications:
- Post secondary completion in Business Administration, Office Administration or other applicable program;
- Three to five years of experience assisting a Manager or above in an office setting;
- High level of proficiency with Microsoft Office tools, particularly Excel, Word and PowerPoint;
- Experience with an HRIS an asset;
- Evidence of successfully working in a team environment;
- Evidence of the ability to thrive under pressure, react positively to deadlines;
- Prior experience taking initiative as a self-starter who can work independently;
- Ability to work flexible hours including evenings and weekends on occasions;
- Clear criminal reference check to work with vulnerable populations is required.
